This is a ready-to-use calibration master list. It is the single source of truth for what measuring equipment exists, how each instrument is controlled, and when each is due. The most common GMP calibration finding is an overdue instrument still in use, and this list is the control that prevents it, provided it is kept current and paired with a hard out-of-service rule. Control rules (state these in the governing SOP)
- Every entry has a physical label on the instrument showing the next-due date. “Check the label before use” is part of operator training.
- A “due in 30 days” report runs from this list so calibrations are scheduled before they lapse, not after.
- Overdue equals out of service. An instrument past its next-due date is tagged and cannot be used for GMP measurements until recalibrated.
- Standards are on this list too, on a tighter interval than the instruments they calibrate. One expired standard can invalidate every calibration performed with it after its due date.
- Tolerance on this list matches the procedure and certificate. A mismatch across documents is a frequently cited finding; reconcile periodically.
- The list itself is a controlled record with access control and an audit trail where it is electronic; the ALCOA+ expectations apply.
Retention and review
Retain superseded versions per <<FILL: retention period>>. Review the whole list at least <<FILL: frequency>> for completeness (are all in-scope instruments listed), accuracy (do statuses match reality), and standards traceability.

Note that FM-0915 is inside 30 days of its due date and shows “Due soon,” which is the trigger to schedule it now. The working standard TS-204 is on the same list, on its own interval, because if it lapsed every gauge it calibrated afterward would be suspect.
Common inspection findings this log prevents
- An overdue instrument still in use, because nothing flagged the lapse.
- An instrument in a GMP area that is not on the list at all.
- A working standard used after its own due date, breaking traceability for everything it calibrated.
- The tolerance on the list disagreeing with the calibration certificate.
- No visible link between an instrument and the standard that calibrates it.
How to adapt this log
- Populate it from a physical walk-down of every GMP area, not just from existing paperwork, so nothing is missed.
- Where a calibration-management system holds this data, this list is the human-readable extract; enforce the due-soon report and out-of-service rule in the system, not in memory.
- Keep the classification rationale for each instrument on file and referenced from this list.
- Reconcile the tolerance column against certificates at each periodic review.
